Admin Assistant

Main responsibilities
• Receive and unload external mail
• Manage central filing (proforma and customer invoices, etc.)
• File outgoing mail and outgoing faxes
• Enter various administrative correspondence
• Manage staff time and attendance
• Manage office supply inventory
• Translate documents into French or English.
• Manage travel for employees (ticket reservations, hotel reservations, local transportation, etc.)
• Manage drivers and staff transportation ü Manage catering
• Assist managers with document preparation and equipment shipments when necessary
• Assist the AM with receiving and posting supplier invoices
• Ensure delivery of products and services after receipt of purchase orders from suppliers
• Support document tracking with freight forwarders and DHL
• Participate and contribute to all activities aimed at facilitating plant operation and maintenance at the CM’s request
Education & experience
• Diploma or bachelor’s degree in business administration, Office Management or related field.
• 5 years of relevant work experience
• Experience in office coordination, calendar management and document handling
• Familiarity with using office equipment and administrative systems.
