About the Administrative Lead Role
The Administrative Lead will be responsible for the following workstreams:
Human Resources:
• Support with recruitment efforts
• Support with onboarding tasks (Administrative and team integration efforts)
• Track contract start and end dates for all necessary employees
• Support the payroll team by sharing payroll data monthly and at hiring &/or contract termination.
• Contribute to a strong and positive office culture and morale
• Ensure the implementation and adherence to safety and security protocols for all employees.
Legal Support:
• Respect compliance procedures and organize records for all company documents (employee contracts, vendor contracts, client contracts, invoices, quotes, checks …etc.)
• Ensure the organization meets all local compliance requirements.
• Lead all Dakar office immigration processes (visas, employment permits etc.)
• Lead visa runs for employees when applicable.
• Produce reports, compose correspondence, and draft new contracts.
• Provide historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
Office Administration:
• Oversee general office administration and operations; supervise the office caretaker.
• Supervise, mentor, train and coach administrative assistant staff and delegate assignments to ensure maximum productivity when applicable.
• Purchase office supplies and equipment and maintain proper stock levels.
• Maintain office services by organizing office operations and procedures; control correspondence; design filing systems; review and approve supply requisitions; manage all clerical functions.
• Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurements.
• Design and implement office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
• Running office-related errands
• Manage relationships with vendors (internet, landlord, electricity …etc.) to create a great work environment for the team.
• Serve as the point of contact for administrative queries from employees
• Plan and organize office events, including team-building/culture-building activities, workshops, celebrations, retreats…etc.
• Oversee travel arrangements for staff and visitors, including flights, accommodations, and travel allowances.
Finance Support:
• Manage petty cash for the office
• Support with bank transactions (checks, bank transfers, payment tracker updates…etc)
• Support the finance team by initiating payment requests through online forms for pending payments.
Qualifications
Knowledge, skills, and abilities
• 1-3 years of professional experience after undergraduate, with relevant skills in administrative work, Dakar immigration processes
• Bachelor’s degree in Business Administration, Human Resources, Management, or any other related field
• Professional, maturity, and leadership ability
• Polished written and oral communication skills
• Proficiency in French, English, and Wolof.
• Possess a valid driver’s license.

Nuts & bolts
Location
This position can be based in IDinsight’s Dakar, Senegal office. It is not eligible for remote work or work from the United States, and IDinsight cannot sponsor work permits for this role.
Start date
This position will start between February and March 2025, with a preference for candidates who can start immediately. We expect a two-year minimum commitment, regular professional development conversations, and the potential for a long-term career at IDinsight.
