PURPOSE / OBJECTIVE
Under the supervision of the Material Coordinator, the Inventory Audit & Control Supervisor is responsible forplanning, organising, directing, managing and evaluating the inventory management activities and budget of Mako (Petowal) warehouses. In addition, this role will liaise with end-users and the team to ensure the adequacy between orders and effective material in stock.

KEY ACCOUNTABILITIES
Audit and Inventory Control
•Monitor inventory levels and inventory movement using manual and computerized inventory systems
•Lead internal and third party inventory audits
•Ensure that inventory changes are documented in a manner that provides an audit trail of activities
•Review compiled inventory reports (quantity, type and value of materials, and equipment and stock on hand)
•Liaise with Site Supply officers to action warehouse transfers to fulfil replenishment demands
•Confer with other department leads and staff to coordinate inventory management activities
•Provide input to develop and communicate inventory management policies and procedures
•Review and report on key performance indicators to measure the effectiveness of the inventory management operations
•Conduct investigations into inventory management incidents in order to verify and resolve complaints
•Investigate inventory discrepancies and ensure discrepancies are properly documented
•Identify obsolete items that can be pulled from inventory. Update and transact catalogue information data sets in the ERP system to reflect the removal or change in attributes. Dispose of obsoleted parts in accordance with established policies and procedures
•Ensure all Catalogue Item Requests (ICR’s & ICA) for new additions or increases to inventory levels are thoroughly reviewed for completeness before establishing re-order settings
•Perform inventory reviews of inactive inventory to ensure obsolete and surplus materials are identified and disposed of in accordance with established policies and procedures
•Plan and analyse inventory incorporating trends, seasonality, forecasts, and random variation when monitoring stock levels
•Coach, train, manage, and appraise the performance of inventory management personnel
•Ensure inventory stock adjustments are input in a timely manner and evaluate the impact on stock replenishment by processing write-on / off’s.
•Maintain accurate filing and archiving of records deemed necessary by the Accounts/Auditing teams
•Prepare quantitative KPI’s and Reports on a regular basis and as requested.
•Carry out work as directed

Safety
Meet required monthly safety submissions

Ensure direct reports achieve their monthly safety submissions.
•Rectify 100% of “A” class safety hazards on the same day.
•Achieve zero (0) department fatalities per year
•Achieve less than 4 LTI for department per year
All In Sustaining Costs (AISC)
•Manage leave roster to maintain 100% coverage.
•Control monthly labour expenditure within the agreed budget
•Achieve monthly zero unplanned absenteeism per month
•Control monthly overtime expenditure within the agreed budget
•Control monthly contractor cost within the agreed budget
•Actively support in issuing monthly report on all stock valuation
•Achieve at least 98% inventory accuracy
•Achieve 99.5% damage free
•Perform yearly physical inventory control
•Generate and share one cost saving idea/initiative per quarter with supervisor
Production
•Actively participate in improving the service level of the section by 95%
•Permanently ensure all inventory changes are documented in a manner that provides an audit trail of activities
•Weekly confer with other department leads and staff to coordinate inventory management activities
•Conduct investigations into inventory management incidents in order to verify and resolve complaints within one week
•Achieve 100% inventory accuracy regarding data entry in the ERP Software for old as well as new items
•Achieve 100% match of physical inventory with database listed inventory
•Review compiled inventory reports (quantity, type and value of materials, and equipment and stock on hand) on a monthly basis
•Administer weekly/monthly training/coaching to ensure warehouse team is comfortable with inventory control objectives, processes, and procedures
Cashflow
•Control monthly expenditure to within the agreed budget of 2 million a year.
•Process and review repairable item requests and process repair recommended orders
CONSTRAINTS, FRAMEWORKS & BOUNDARIES
•Ensure that all site procedures are adhered to with respect to purchases and that operations comply with all relevant government and statutory Laws, Acts and Regulations.
•Follow Mako (Petowal)’s expenditure approval matrix for all operating and capital expenses.
•Report any breaches in compliance particularly with all statutory requirements and company standards.
CHALLENGES
•To assist the Supply Chain Management team in reducing overall operating costs and optimizing inventory management efficiencies and service level.
•To ensuring supply activities remain within budget and that exceptions are highlighted and discussed with the relevant parties as required.
WORKING CONDITIONS/ENVIRONMENT
•Roster: In accordance with the standard mine rotation schedule which is currently 6 weeks on/3 weeks off with continuous management coverage for the department.

SKILLS, KNOWLEDGE & EXPERIENCE
Education:
•Post-Secondary qualification in Business or related field (Bac+3)
Relevant experience:
•Minimum 5 years in mining warehouse roles
•3 years of experience in warehouse administration & inventory control
•Good knowledge of mining equipment and spares; ability to understand technical specifications of material and equipment
•Knowledge and experience on how to manage the inventory functions
•Experience in project management
•Proficient in MS Office (especially Excel) and SAP filing systems
•Excellent communication and negotiation skills
•Well-organized with multi-tasking abilities
•Experience in planning, organizing, prioritizing and coordinating work in a changing environment
•Able to read, write and speak English and French
•Ability to work independently
•Ability to investigate and problem solve
•Ability to work a flexible schedule based on operational demands
•Excellent interpersonal and customer service skills and ability to manage multiple priorities.
