Position Description:
The Executive Assistant is the behind-the-scenes collaborator and colleague whose main job responsibilities are supporting the Director and the Assistant Director in managing day to day scheduling, logistics and administrative tasks. This role requires strong attention to detail, problem solving skills and a customer service orientated approach when dealing with enquiries that come from all across the organization. The dynamic nature of this role requires a team player who possesses exemplary time management skills and the ability to identify and anticipate priorities. Responsibilities

This role serves as the eyes and ears to the Director and Assistant Director and requires high level interpersonal skills and the utmost discretion when handling matters of a highly confidential and sensitive nature. Duties include but are not limited to:


Organization
– Providing administrative, organizational and logistical support to the Director and Assistant Director
– Coordination and management of executive scheduling (complex diary management)
– Provide coordination, monitoring and communication of projects and programs within the Admin department
– Keep the Directors advised of time sensitive and priority issues ensuring appropriate follow up
– Schedule departmental meetings; assist in the preparation and distribution of meeting materials and agendas
– Manage bespoke travel arrangements for the Directors and associates
– Coordinate all Director related events eg. Director coffees, staff breakfasts etc Administration
– Routinely perform a wide variety of support duties
– Prioritizing the Directors emails and calendar invites
– Maintain paper and electronic databases and filing
– Attend meetings, record minutes and draft agendas
– Complete a variety of special projects including creating PowerPoint presentations, maintaining financial spreadsheets and agenda materials

– Prepare annual parent-student and faculty surveys Logistics and Accounts
– Prepare and Track Annual Overseas Purchase Orders
– Monitor Operating and Capital Budgets for: Principals, Innovation Director and Activities Director
– Review and verify accuracy of monthly financial reports for Board Reports
– Organize travel, registration and accommodation for Director and employees relating to work conferences, professional development and IB trainings
– Coordinate the Director Advisory Council, students and staff
– Shipping coordination of new hires Skillset and Qualifications
– Bachelor’s Degree in Business Administration or related field
– Three to five years experience supporting a senior executive and team
– Exceptional communication, written and verbal skills
– Experience with budgeting and financial reporting is a huge plus
– Excellent IT literacy including Google Docs, MAC and MS Office Suite
– Exceptional writing, editing and proof-reading skills
– Meticulous organizational and time management skills Person Specification – A detail-orientated self-starter with prior experience supporting Executive Directors
– Energetic and eager to tackle new projects
– Someone who exhibits sound judgment and the ability to prioritize workload and multi-task
– Resourceful team player with a ‘can do’ attitude
– Thrives in a fast paced environment
– Moves with discretion
