About Greenpeace Africa
Greenpeace Africa was founded in 2008 and is part of the Greenpeace global network that has recently celebrated 50 years of climate activism across the world. Greenpeace was founded in 1971 by a small group of concerned individuals, who set sail to Amchitka Island off the coast of Alaska to try and stop a US nuclear weapons test. Their old fishing boat was called “The Greenpeace”. Today, Greenpeace is present in over 40 countries around the world. Greenpeace Africa currently operates in the Democratic Republic of Congo (DRC), Cameroon, Kenya, Senegal, and South Africa to challenge the development and growth model rooted in the extractive, neo-colonial socio-economic model that is holding the African continent back and is contributing to the worsening climate crisis.

Greenpeace Africa’s vision is embedded in collective activism powered by the energy of millions of Africans to shape better legal, political and economic systems in ways that position Africa as a world leader and a source of untapped wisdom. Greenpeace Africa’s strategy aims at transforming Greenpeace Africa to be an organisation working on campaigns delivering systemic impacts in Africa with an operating model that is fit for purpose and responsive to the challenges facing Africa. Greenpeace Africa seeks to fill this vacancy with a highly qualified professional that has the flexibility to work remotely, as Greenpeace Africa implements a hybrid work location model, with work-from-home being the primary model of work.


Job Description
Principal accountabilities
To collect, record, keep track and report all financial information of the regional office, ensure finance systems are optimal and function in line with Greenpeace Africa policies, procedures and guidelines. At all times to communicate the financial status of the regional office to guide and inform management and stakeholders for appropriate decision-making.

Finance Operations
• Purchase Ledger Administration
• Ensure timely sending, recording and payment of invoices, reconciliation of Greenpeace Africa bank accounts, credit/debit card accounts and payments to consultants, including efficient handling of internal & external queries, in order to maintain cost control within Greenpeace Africa.
• Maintain supplier accounts

Invoice Payments
• Record invoices accurately in accounting system;
• Ensure that authorisation is received and correct;
• Pay invoices, once authorised, as appropriate and in a timely manner ensuring the upload file is generated and allocations are accurate and complete in the correct period;
• Record NRO invoices against intercompany accounts, once authorised, as appropriate;
• Record all payments in accounting system in a timely manner;
• Maintain overview of invoices outstanding, charges expected, authorised spend per budget code, monthly creditor reconciliations, etc.
Expense Claims
• Review expense claims, monitor and reconcile personal accounts ensuring consistent and accurate application of GPI policies, in order to help ensure cost control and efficient processing of claims.

Petty Cash
• Ensure proper control and administration of the cash-book, accurately recording expenditure and reconciling them with the internal accounting system;
• Reconciliation of petty cash on a daily/weekly basis.
Bank Accounts
• Administer bank accounts within the region, ensuring efficient and effective cash flow within Greenpeace Africa, Documentation and systems
• Ensure all records of GPA expenses, payments, bank statements, budgets and accounts are fully and neatly maintained and accessible.

Finance Record Management
• Ensuring documents are stored appropriately and retained in line with local regulatory requirements and GP internal requirements.
• Advance accounts and balance sheet reconciliations
• Ensure all balance sheet reconciliations are submitted for review timeously this includes; Fixed Assets, bank account, advance accounts and all control accounts.
Internal Control environment
• Minimise the possibility of fraud by means of internal checks, in compliance with law and regulations, in order to ensure the security of Greenpeace Africa’s assets.
Payment/Budget Approval
• Ensure all transactions and requests are adequately scrutinized to ensure they are properly authorized and budgeted and comply with organizational policies prior to final processing.
Procurement
• Ensure that the Procurement policy is adhered to at all times.

Statutory Compliance
• Ensure compliance with all financial statutory requirements in country; i.e VAT, WHT, Staff Taxes ect.
Asset Management
• Ensuring all company assets are accounted for and if applicable that proper disposals procedures are carried out as per the financial policy.
Audit
• Prepare and submit all supporting documents requested by Auditors.
Other: Finance, systems and administration
• Any other duties as required to ensure Greenpeace Africa has a world class finance, systems and administrative division.
• Any Country specific Administration support as required and assigned
