Job Summary
The Office Manager reports directly to the CEO and works closely with members of the executive Leadership Team, and agriculture mangers.
Responsibilities:
Support the CEO by providing a high standard of personal executive-level assistance to meet the needs of the CEO’s objectives, including diary management, organizing agendas and materials for meetings, attending meetings with the CEO as needed; taking notes, gathering follow-up action items, and follow up on next steps. Handle all logistics for travel, such as accommodation, visa arrangements worldwide, etc.
The Office Manager will also be in charge of opening purchase orders, study of issuing reports, tracking Small Funds, invoicing to the system, track payments to suppliers and customers via Priority software.
The Office Manager should be the CEO’s right-hand handling the day-to-day operations, supporting him within all the administrative high-level tasks, including creating and reformatting effective presentations, preparing and reviewing reports, and documentation, while focusing on efficiency and time management.
Skills
The role requires a motivated and flexible individual with exceptional multi-tasking ability as the demands on the role will vary from time to time.
As an international organization, the job holder will need to be an effective communicator with people at all levels and from all backgrounds and cultures.
Building and maintaining good relationships with all contacts (internally and externally) is key to success in the role.
High accountability and reliability, as well as excellent organizational skills, are also required.
Requirements
• At least 3 years of experience in in executive’s assistant / office manager
• Fluent French and English – mandatory!
• High proficiency of MS-Office, including Excel and PP.
• Experience working in a global company – huge advantage.
• Academic university degree is an advantage
