General context
The MSF movement has committed to advancing toward a global workforce capable of addressing future challenges and responding effectively to emerging emergencies. To achieve this, the organization is implementing several projects aimed at aligning HR practices and policies with evolving realities. Among these initiatives, the Global Grading Framework (GGF) is a important stone of the Reward Review project.
Placement within the organizational chart
The Rewards Administrative Support will report hierarchically to the Reward Advisor and functionally to the Head of Reward. The role will involve collaboration with other members of the reward team across MSF sections and will maintain strong communication with other department members in the organization.
Responsibilities and main tasks
• Execute administrative tasks and do follow up of project in relation to documentation management, development of tools and procedures to support the smooth transition of OCBA to prepare for the Global Grading Framework.
• Provide comprehensive administrative support to the Rewards team, ensuring efficient operations and communication.
• Organize, coordinate, and schedule meetings, training sessions, and events for team members and stakeholders.
• Maintain and manage documentation, records, and databases to ensure accuracy and accessibility of information with the aim to achieve the Global Grading Framework application, under the guidance of the Rewards Advisor.
• Support development of tools and procedures to ensure standardization and efficient management of the GGF, under the guidance of the Rewards Advisor.
• Assist in preparing presentations, and other materials as required by the team.
• Collaborate on cross functional projects with various departments to facilitate smooth workflow
• Participate in project development, collaborating with the Reward Department during the planning phase and transitioning to the implementation phase together with Administration Department.
Selection criteria
• University degree, preferably in Human Resources or Administration.
• Prior MSF experience mandatory.
• Prior experience in HR is highly desirable.
• Languages: Fluency in English to allow effective performance of the job responsibilities, particularly in navigating and working with English documents, is essential. Proficiency in Spanish is considered an asset.
• Technical Skills: proficiency in Microsoft Office (particularly Excel and OneDrive is required. Knowledge of data management tools (Microsoft Lists, Power BI) or practices will be highly valued.
Conditions
• Position based in any MSF OCBA Hub (Barcelona, MSF-Spain office delegations, Amman, Bogota, Dakar or Nairobi). Final location will be subject to the employability of the preselected candidate (residency, work permit, etc.).
• Full time
• Annual gross salary: HQ 2C level+ secondary benefits based on MSF OCBA Reward Policy. Subjected to local conditions.
• Duration: Temporary contract until October 2025.
• Starting date:Mid-February 2025.
