About the role

The HR Officer will play a vital role in supporting the Human Resources in Senegal, ensuring compliance with local labor laws, and providing assistance in various HR functions in line with Nutrition International’s human resource procedures, guidelines and systems.

The HR Officer will also work in close collaboration with the Regional Office team on different phases of the employee life cycle.

Roles & Responsibilities

Recruitment and Onboarding:

Assist in the recruitment process, from job posting to onboarding.
Coordinate interviews and assessments and communicate with candidates.
Conduct new employee orientations and ensure a seamless onboarding process.
Employee Relations:

Handle employee inquiries and provide assistance on HR-related matters.
Address minor employee relations issues and escalate to Regional HR Manager – Africa when necessary.
Support in maintaining a positive workplace culture.
HR Administration:

Maintain accurate and up-to-date employee records in SharePoint.
Prepare HR-related documents, including contracts, letters, and reports.
Manage the employee change process and issue contract revisions, letters, employment confirmations, internal transfers and other employee status/profile changes
Support the Regional HR Manager in putting together relevant work permit requirements for expatriate staff in the Senegal Country Office.
Assist in the implementation of HR policies and procedures.
On and Off boarding of Staff

Ensure newly recruited staff sign all relevant HR policies and documents.
Welcome and introduce newly recruited staff based in Senegal, on their first day in the office.
In liaison with recruiting managers, develop on-boarding schedules and set meeting calendars with relevant staff while ensuring that the schedule is implemented in a timely manner
Ensure staff are inducted on all the mandatory HR policies within the first three months of reporting on duty.
Share staff clearance and exit documents in a timely manner with exiting staff.
Ensure outgoing staff go through proper exit interviews to get feedback and insights on reasons for exiting.
Human Resource Information System

Provide day-to-day management, support and monitoring of HR Systems (HRIS, Time Management, Performance Management) including adding new profiles, updating existing profiles, conducting regular spot checks and audits to ensure data integrity and supporting the review, testing and implementation of system upgrades, updates and patches
Staff leave management.
Running Quarterly HRIS reports for data quality assessment.
Assist in the development and update the content of the SharePoint HR and Health and Safety intranet sites on a regular basis
Compliance and Legal Knowledge:

Stay informed about local labor laws and regulations in Senegal and ensure compliance with Senegal employment related laws/practices.
Provide guidance to management on legal and compliance matters.
About you

You have;

Bachelors in Business Administration, Human Resources or related discipline with a Minimum of 3 Years experience in a similar job.
Knowledge of Senegal’s labor laws and regulations.
Post graduate diploma in human resource management
Experience on managing end to end recruitment process.
Experience in managing HR systems and HR Analytics
Fluency in French and English in both reading and writing. Knowledge of other languages spoken in countries supported by NI would be an asse.
Excellent writing and overall communication skills; strong verbal skills are a requirement
Excellent interpersonal skills
Exceptional client service approach
Ability to work with minimal supervision and produce results in fast paced multi tasking and short deadline environment
Fully literate in MS 365 Office suite. Avid MS Teams user and experience with social apps/technologies
Detail-oriented with a keen focus on timely data integrity
